The Schengen visa, step by step, for an Indian passport

What the checklist actually asks for, how long the appointment takes, and the three documents that cause most refusals.

Written by the Kavisha Holiday visa desk

A Schengen visa is not difficult. It is unforgiving. Almost every refusal we see comes from a file that was incomplete, inconsistent, or submitted too close to the travel date — not from a traveller who was not entitled to go.

Start eight to ten weeks before you fly

Appointment slots in Mumbai are the bottleneck, not the processing. In peak season — March to June, and again around Diwali — slots at the VFS centres fill weeks ahead. Processing itself is usually 15 calendar days, and can extend to 45 if the consulate asks for more.

Practical rule: if you are travelling in June, we want your documents in April. Booking flights before the visa is granted is a risk we will advise you against unless the fare genuinely demands it.

Which country do you apply to?

You apply to the country where you will spend the most nights. If the nights are equal, you apply to the one you enter first. On a London, Paris and Switzerland trip, the UK visa is separate and the Schengen application usually goes to France or Switzerland depending on the split. Getting this wrong is grounds for refusal on its own.

The documents that actually matter

The published checklist runs to a dozen items, but three of them decide most cases: your bank statements, your confirmed itinerary, and your proof of ties to India.

Bank statements are read closely. Consulates want to see six months of ordinary activity and a balance that plausibly covers the trip. A large deposit landing a week before you apply raises questions rather than answering them. If a family member is funding the trip, say so openly and attach their documents with a sponsorship letter.

The itinerary has to be internally consistent. Hotel bookings, flight reservations and travel insurance must cover the same dates as the application. We prepare this as one document, because a hotel booking that ends a day before your return flight is exactly the kind of small contradiction that gets a file rejected.

Ties to India means a reason to come back: an employment letter with your leave approved, business registration and tax returns if you are self-employed, or property documents. Retired travellers should include pension proof; students, a letter from their institution.

The appointment itself

The VFS visit takes about an hour, most of it waiting. Fingerprints and a photograph are taken, and your documents are checked for completeness only — nobody assesses your case at the counter. Carry the originals of everything you have photocopied. If you have given Schengen biometrics in the last 59 months you may be exempt, and we check that before booking your slot.

After you apply

You will get an SMS when your passport is ready for collection. A visa can be issued for exactly your travel dates or for a longer window, and multiple entry is at the consulate's discretion. Check the sticker the day you receive it: the dates, the number of entries and the spelling of your name. Errors are correctable, but not from an airport.

If an application is refused you are given the reason in writing. Most refusals we have seen are better answered with a fresh, stronger application than with an appeal, and there is no waiting period before reapplying.

What we do

We prepare the forms, assemble the file in the consulate's order, book the appointment, brief you on what to carry, and track the application until the passport is back in your hands. It is included with every European holiday we design, and available on its own.

Let us handle the visa file

We prepare the forms, book the appointment and track the application. Tell us your travel month and we will tell you when to start.

We reply within one working day, and always from a real consultant — not an auto-responder.
